The City Fling Austin: the final countdown

SIGNING DEETS:

There will be a signing session on Friday for Full Fling only (300 attendees), and on Saturday for all ticket holders (600 attendees).

BOOK LIMIT: Please note there will be a 5 book/item limit per line visit per person. The book limits per line visits are only enforced if the author is ticketed (via the virtual queue), or if they have a line in front of their table (or behind you). Otherwise, you’re able to get your books and/or items signed in one trip. 🙂 Additionally, any preorders you are picking up at that author’s table do not count towards your 5-item limits.

PRO TIP: We advise you prep any books/items you plan to have with a sticky note on the page/place you want the author to sign. If you want a personalization, you should also write the name you want it personalized to written neatly in a bold-tip pen/marker to help ensure it’s legible for the author. Also, while you’re in line waiting your turn plan to take out any items you have with you for them to sign and have them in hand ready to pass to the author (or their assistant) by the time you get to their table! This will help ensure the lines move quickly, and that you’re able to get through to the next author or vendor on your list!

NOTE: The only author who has a predetermined personalization limit is Ali Hazelwood; she will gladly sign up to the 5 book/items per person, however she will only be personalizing ONE book/item per person.

THE VIRTUAL QUEUE SYSTEM

We will be using a virtual queue system (Waitwhile) for line management for any high traffic authors + vendors. You can access the queue to virtually “get in line” using the QR code and link that will shared in our event app, and the event info page which will be linked in the Eventbrite email sent to ticket holders the week of the event.

The virtual queue will open about 30 mins prior to doors opening (on both days), where ticket holders can join any pre-ticketed queues which are listed below. Once you’ve signed up for a virtual queue, you’ll get a push notification/text message to your phone when it is your turn. Our hope is to ensure you don’t need to physically stand in one line for long periods of time, thus freeing you up to visit other authors + vendors, or come and go from the signing room while waiting your turn!

Throughout the signing we may also need to open virtual queues for other authors and vendors whose lines are getting long, and should this be the case, we will send a push notification via our event app as well as have event volunteers stationed at those lines to prompt you to join the line virtually upon approaching the physical line.

**NOTE: Signing up for a virtual queue is NOT a guarantee that you’ll get through each line you’ve signed up for, but our authors + vendors will do their best to ensure they’re able to get to as many attendees as possible within the 4 hours each day.

Yes, there’s a 5-book and/or item limit per author per line visit. Preorders (at the author’s table) do not count toward your limit. If there isn’t a line, or the author hasn’t been ticketed, you can go through their line as often as needed should you have more than 5.

You will only be able to have one entry at a time per each ticketed author/vendor listed within waitwhile. Once you’ve been able to go through their line, you may try to enter the queue once more (though there is no guarantee you’ll be called after the first line visit.)

Only small top-loading wheeled carts will be permitted in the signing room. To view examples, go to our post HERE.

In addition to having dedicated entry (slightly prior to doors open), we are dedicating seating throughout the signing room, prioritizing our attendees with disabilities. If you need additional accommodations, reach out to our event team at hello@thecityfling.com so we can work to assist! You will not need to print out your tickets as long as you have the digital Eventbrite QR code which will be scanned at registration. You’ll need to also bring your photo ID for verification purposes. If your ticket is in another person’s name, they will need to be the one to pick up your badge + event tote. **As indicated with our event ticket info (via Eventbrite) the final day for ticket transfers was May 24th. We are unable to honor any transfers submitted after that date.

Prior to the event we will send out emails via Eventbrite, as well as post directly into our Facebook group, and our event Instagram page (as well as The Book Cuties Instagram page). During the event most updates will be made via our event app, Facebook group, and Instagram pages/stories.

There will be both valet and self-parking options available onsite at the Hyatt Regency Austin. Our event attendees will get a 10% discount, which will be added to their hotel room bill (if they’re staying onsite) or in the form of a validated coupon which will be available at the attendee registration and can be used/scanned upon exit to get the discounted rate. You can view all of the event space floor plans here. Our events will primarily take place in TEXAS BALLROOM (mixers, Thurs mixer, and after party), and ZILKER BALLROOM (signings). Our attendee registration will take place in the Skywalk Lobby area, which is located directly above the hotel lobby on second floor.
